OFFICE ADMINISTRATOR

The administrator must be able to coordinate job schedules for technicians and manage tasks related to each job assigned for both old and new customers.

 

Customer billing is a necessity by preparing, charging, and sending invoices.

 

Basic computer skills with accurate input are essential to this position which are also needed when adding new inventory to the database.

 

All customer files are maintained and updated by the office administrator.

PREFERRED QUALIFICATIONS

  • High School diploma with 2+ years’ office administration experience.

 

  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel and Outlook)

 

  • Multi-tasking and time-management skills, with the ability to prioritize tasks.

 

  • Experience in customer billing for services.

 

  • Experience developing internal processes and filing systems.

WHAT YOU'LL BE DOING

  • Coordinate office activities and operations to achieve the company’s goals.

 

  • Schedule technician jobs and follow up on work results to divide responsibilities to ensure performance for follow-on tasks.

 

  • Manage agendas/time-off/appointments etc. for all staff.

 

  • Manage phone calls, customer visits (payments and scheduled service calls), and correspondence (e-mail, packages, etc.)

 

  • Create and update records and databases for customers information, personal and financial.

 

  • Track office supplies and place orders when necessary.

 

  • Assist staff with needs when possible and necessary.

 

  • Scan and record new inventory for management.

 

  • Inform management about trends/patterns identified by reviewing reports related to cancellations, rescheduling, and customer installation costs.

 

  • Maintain general office files to include other files related to the company’s operations.

 

  • Performing other relevant duties when needed.
